What is TimeToMeet?

TimeToMeet is a simple, web-based tool for finding a common meeting time with other people. It works for meetings of two people and for group meetings. TimeToMeet can manage time zone differences, so it's also useful for scheduling international phone calls.

How does it work?

When you create a meeting with TimeToMeet, every participant receives a personal link that they use to access TimeToMeet and respond to your request.

Using a simple scheduling interface, TimeToMeet will ask everyone for times when they are available, meaning: when it's most convenient for them to meet.

As everyone replies, TimeToMeet calculates the overlap and notifies you so that you can confirm a final time.

How is TimeToMeet different from Outlook's way of scheduling meetings?

TimeToMeet is web-based, which means that your participants only need a web browser to respond to your requests. They don't even need to be registered with TimeToMeet.

When you use Outlook to schedule, your participants must have Outlook as well for everything to run smoothly; but that's not always the case because of the many different calendar applications that exists (plus, many people don't use any calendar program at all).

How much does it cost?

Our regular service is free and there are no costs, no matter how much you use it.

When you sign up your free account, you also receive all the additional features of our Pro Accounts during the first month; you can decide later if you find them useful and would like to keep them for a small fee.

What are the system requirements?

TimeToMeet has been tested successfully with Internet Explorer 5.5/6/7, Mozilla Firefox, Apple Safari and Opera 8/9. This means that the vast majority of people (95% or more) on the internet can use TimeToMeet without a problem. (see browser statistics at onestat.com and w3counter.com )

Do I need to sign up before trying TimeToMeet?

No, you don't need to sign up; just follow this link to try out TimeToMeet and create new meetings without being a registered member. Remember that you can sign up for free and that a TimeToMeet account gives you many additional benefits at no cost.

Do the people I invite to meetings need to sign-up with TimeToMeet?

No, the people you invite don't need to sign up. The link they receive from TimeToMeet is all they need to access your meeting page; no extra login or special password is necessary.

I already use Microsoft Outlook/Apple iCal/Google Calendar. How can it work together with TimeToMeet?

TimeToMeet can import and synchronize the appointments in your main calendar program so that they appear within the TimeToMeet scheduling interface: whenever you are entering your available times at TimeToMeet, you will see additional gray bars .

This helps you see when are you are available and when you already have appointments, just like you see it when looking at your calendar in Outlook, iCal, or Google Calendar.

Meetings

What does “Generate Link” mean when I create new meetings?
How is it different from “Send Now as Email”?

When you use the “Send it now” option, TimeToMeet will automatically send an email to each participant; the email will include your personal message (if you entered one), the personal link they need to respond to your request and a very brief description of TimeToMeet.

The “Generate a Link” option means that TimeToMeet does not send a notification to your invited participant when you create a meeting. Instead, TimeToMeet will only generate the link that they need and give it you . You can then use your regular email program to send it them personally.

Can I add other participants later?

Sure. Just follow the “Invite Others” link on the scheduling page.

I mistyped someone's email address. Can I update it?

Sure. Just follow the “Edit Meeting Details” link on the scheduling page. Note that you must be the meeting's organizer to access this feature.

What happens if there is no overlap among the responses?

TimeToMeet will notify you when it can't find a time that works for everyone. At that point, you can send a message via TimeToMeet to ask every participant for additional times, or you can manually select a time to confirm based on how many people can attend.

What are Pro Accounts? How do they compare to Free accounts?

Our regular service is free and there are no costs, no matter how much you use it.

As an extension, we also offer Pro Accounts that include additional features for a small fee. They are mostly relevant to people who use our service frequently and people with busy schedules who have to coordinate many meetings.

When you sign up your free account, you also receive all the additional features of our Pro Accounts during the first month; you can decide later if you find them useful and would like to keep them.
